Need Some Audio Visual Equipment For A Special Event? 3 Tips To Help With The Rental Process

When putting on a big event, one of the most crucial elements is the sound system. Without the right sound system, no one is going to hear what you say or be able to enjoy the music that is being played. Audio visual equipment rental is what brings together a big event. It helps both create the ambiance and direct the flow of the setting. When renting audio visual equipment, you need to make sure you get the right equipment.

#1. Go to the Actual Headquarters

It can be tempting to find an audio visual equipment provider and just talk with them through emails or over the phone. However, before you move forward with a contract, you should go visit the company in person.

You can learn a lot about a company by visiting their headquarters. You will get to see how they treat and store their equipment. Is everything well organized, and does it look well taken care of? Or is everything scattered around in disarray, which would make it difficult to take good care of the equipment?

You can learn about a company, and determine if you want to work with them, just by dropping by their physical headquarters and seeing how they do business.

#2. Inspect the Equipment

When you go to the headquarters, ask to see the exact equipment you will be renting. Take this opportunity to really check it out. Do all the wires and cords look like they are in good condition? Do you see damage to the wires and cords? What is the overall visual condition of the equipment? If possible, see if they can turn on and run the equipment; it is always best to double check the quality of such an important part of your event.

#3. Check for Insurance Coverage

Next, check and make sure that the audio visual equipment rental company you want to work with carries liability and workers compensation insurance. You do not want to be liable for workers injuring themselves setting up or taking down the equipment, nor do you want to be liable if the equipment falls on and injures a guest. Only work with a rental company that has invested in insurance; insurance doesn't just protect them, it also protects you. Without proper insurance, their liability risks become your risks, which is not something you want or need to deal with when planning a party.

When choosing an audio visual company to provide the sound that will pull your event together, don't do all the negotiating over the phone. Head down to their headquarters, check things out, and look at the actual equipment you will be renting. Make sure they have the right insurance as well before you agree to hire them for your event.
